About Most Wanted: Music

Most Wanted: Music (MW:M) is the Berlin Music Commission’s central platform for the professional music and creative industries. Since 2014, it has brought together people from music, culture, business, technology, research, politics and civil society to share knowledge, build new connections and create tangible momentum for the future of the music ecosystem.

MW:M26 takes place from 3 to 5 November 2026 at nhow Hotel Berlin. Under the theme REWIRE!, international industry changemakers will meet across keynotes, roundtables, workshops and other interactive formats. The programme connects Business, Social Impact, NextTech and Scene – and asks how we can redesign the music industry together.

Your role

As Speaker Manager, you will take over confirmed speakers once they have been booked by the programme team and guide them through onboarding, logistics, publication and event delivery. You will be their central point of contact, keep information moving reliably and create a professional, welcoming speaker experience.

Your responsibilities

  • Speaker communication: Manage ongoing communication, share general and technical information, answer questions and follow up proactively on outstanding items.
  • Onboarding & data quality: Review handovers from the curatorial team, maintain speaker and session data in Airtable, and document status, ownership, availability and special requirements accurately.
  • Agreements, fees & conditions: Support the preparation of speaker agreements and keep information on speaker type, fee eligibility, travel coverage and accommodation consistent.
  • Travel, accommodation & access: Coordinate ticketing, travel and hotel needs as well as accreditation in close collaboration with the relevant teams.
  • Programme & communications assets: Collect biographies, photos, session titles, roles and other materials and prepare the information for web, app, print and internal briefings.
  • Operational planning: Support the programme leads with speaker briefings, timings, cue sheets and the operational handover to Production and Stage Management.
  • On-site support: Organise check-in, green room operations, speaker movements and stage handovers, ensuring speakers feel informed and supported throughout the event.
  • Team & interfaces: Coordinate a small volunteer team and work closely with Programme, Marketing, Production, Partnerships and Attendee Support.
  • Wrap-up: Track final open items, support post-event follow-up and ensure the relevant documentation is handed over cleanly.

What you bring

  • At least three years of relevant project and event management experience, ideally focused on speaker, talent or guest management
  • German at B2 level or above and English at C1 level or above, both spoken and written
  • Excellent, service-oriented communication with diverse stakeholders and international guests
  • A structured and dependable way of working, with strong attention to data quality, timelines and follow-ups
  • Confidence using project management and collaboration tools; Airtable experience is a strong advantage
  • A hands-on mindset, ownership and the ability to stay calm and solution-focused when plans change at short notice
  • A collaborative approach and some experience coordinating small teams or volunteers
  • Confirmed availability in Berlin during event production from 3 to 5 November 2026

Nice to have

  • Knowledge of Berlin’s and the international music and creative industries, plus a relevant network
  • Experience with B2B conferences, international travel logistics, speaker agreements or digital programme content
  • Awareness of accessibility, safer-space practices and inclusive communication

Conditions

  • The estimated total workload for this assignment is approximately 150 hours on a freelance basis.

This contract is part of a publicly funded project with limited financial resources. The maximum contract value is €4,500 net. The contracting authority reserves the right to cancel the tender if the most economically advantageous offer exceeds this amount.
